Our Approach

The longest part of an implementation is rarely our work. It is getting the data right.

Because PeopleCoral is single-tenant, we build your environment while you prepare your data — two tracks running in parallel from day one. Our development team stands up your dedicated server and codebase; your team gathers employee and payroll data in the standard format we specify at the very start.

This is why we can commit to four to six weeks for the full process. The variable is almost never on our side: it is how quickly the data arrives, and how clean it is when it does. We tell you exactly what we need on day one — so nothing waits on discovery later.

One thing we do expect: a dedicated project manager on your side. Experience is unambiguous here — implementations without a single accountable owner at the customer take longer. One person who owns data delivery, decisions and internal coordination keeps six weeks at six weeks.

Nothing goes live without HR approval

Before your organisation sees anything, HR reviews the complete setup — requirements, configuration and data — in a safe, non-live environment. Go-live happens when HR says it does. Not before.

Dedicated server & codebase setup
Because PeopleCoral is single-tenant, our development team stands up your own dedicated server and deploys all code required for your organisation. Your environment. Your infrastructure. From the very first week.

Requirements capture
We list your requirements in detail — workflows, approval structures, collective agreements, pension schemes, branding, language and logic. This becomes the specification your environment is configured against, and the checklist HR validates before go-live.

Configure your environment
We configure your requirements directly on your single-tenant server. Where configuration is not enough, we write code — that is the point of a dedicated environment. Your platform is built to your specification, not to a vendor's limits.

Data upload & verification
Your data — delivered in the standard format from step one — is uploaded to your environment, with a controlled verification of the upload. One centralised employee record, populated and confirmed.

Historical data — per your contract
Where agreed, we load prior payroll years into your environment — so year-to-date figures, cumulative statements and historical reporting are available from day one. Scope follows your requirements and the contract on historical data.

Validate — with HR, before anyone else

Controlled review in a safe environment
Together with your HR team, we control the complete setup — requirements, configuration and data — in a safe environment that is not yet live. HR sees everything exactly as the organisation will, and checks it against the specification from step three.

Go-live — on HR's approval
Once HR approves the execution of the requirements and the data, we go live towards your organisation. Employees receive access to the platform and the mobile app. Not a moment earlier.
We prepare the go-live communications with you — but the internal roll-out itself is led by HR, with our support. A successful implementation is not only about the quality of the work; it is about acceptance inside your organisation, and that is something only your own people can carry. Where you want extra hands, our implementation consultants can support the roll-out as part of your contract.

Live — and improving

Parallel run — if your situation calls for it
Where required, we run in parallel with your previous payroll provider for a couple of months, comparing results run by run. Whether a parallel run makes sense depends on your situation — we advise honestly either way.

Continuous improvement period
After go-live, we follow a continuous improvement process for the duration written in your contract. We adjust the software to real-world situations that no requirements list captures up front — because experience tells us there is always something the day-to-day reveals that the specification did not.

Integrations with your business systems
Where contractually agreed up front, we implement integrations with your other vendors — though in practice the build usually sits on the vendor's side. For agreed integrations, we provide an open API page so your ERP, CRM, billing or identity systems connect via standard APIs. Your HR data stays unified; your business systems stay connected.
